How to Write a Simple Professional Email (Easy Templates)

Professional emails don’t need big words. A good email is clear, polite, and short. Use this simple structure:

Subject: What you need (short)
Greeting: Hello/Hi + name (if you know it)
Reason: 1–2 lines (why you’re writing)
Request: what you want them to do
Details: dates/times/attachments (if needed)
Closing: Thank you + your name + phone (optional)

Quick tips

  • Keep it polite (avoid “Why didn’t you reply?”)

  • Add the date so they can find your earlier message

  • If you attached something, mention it: “I’ve attached it again here.”
